Confirmed Bookings

Sailors may hold any booking for 24 hours with no deposit, or they can confirm their booking by paying a 20% deposit.

A Sailor may receive a full refund (including Voyage Protection) if the refund request is made within 7 days of booking.
Pre-voyage

Shore Things - Early booking window opens for RockStar and MegaRockStar Sailors.

Full Payment Due - New or existing bookings need to be paid in full, including taxes & fees. Plus, your commission on voyage fare and voyage protection is initiated.
Shore Things - Booking opens for all Sailors.
Cabin & Suite Category Upgrades Available - Sailor details are set, but they can now upgrade their cabin category, subject to availability.
Voyage Protection - Last chance for your Sailors to lock in Voyage Protection for their sailing.
Get Paid - Your commission on voyage fare and Voyage Protection is paid on fully paid voyages.
Double-Check Docs - Reach out to your Sailors to remind them that they need a passport to sail, and the expiration date of it must be valid for at least 6 months after the final date of the voyage.
FVC Credit for Cancellation - If a Sailor cancels between the 45th and 120th days prior to their voyage, they will receive full FVC (Future Voyage Credit) which they can use up to one year from the original voyage date.

Onboard Experiences - The early booking window opens for Sailors in Mega RockStar and RockStar Quarters to reserve dining, book Shore Things, and secure a disembarkation slot.

Pay in Full - Any new or existing bookings made between 45 days and 48 hours pre-voyage must be paid in full and are non-refundable.
Cancellations - Bookings canceled between 45 days before sailing and departure will not receive an FVC.
Onboard Experiences - The booking window opens for all Sailors to reserve dining, book Shore Things, and secure a disembarkation slot.

Name Changes - Changing the name of a Sailor on a reservation is permitted up to 48 hours before the voyage with no penalty or fee.
Post-voyage

Any commission on pre-voyage sales or bonus commissions are paid within 30 days post completion of the voyage.

We partner with Paymode-X, the fastest growing settlement network for commission payment. Commission payments are issued through Paymode-X every two weeks.

If a Sailor pays a deposit but cancels before final payment (120 days):
The deposit will convert to a FVC valid one year from the original booking date.
Commission will only be paid at the final payment of booking in which credit was used.
If the deposit is never used, the commission will not be paid.
If a Sailor cancels after final payment was made (less than 120 days):
No recall or change to commission paid.
If the cancellation is between 119 and 45 days* before sailing, your Sailor will receive a non-commissionable Future Voyage Credit (FVC) for their voyage fare. Taxes and fees are refunded to your Sailor.
If the cancelled booking is part of a Circle, the Sailor will receive a 50% FVC if the cancellation occurs between 119 and 45 days before sailing. If the cancellation comes 44 days or fewer before sailing, no FVC will be issued.
*This follows the final cancellation timeframe of the booking.

Commission will not be paid for anything that Sailors purchase on board the ship, other than a future voyage.

Virgin Voyages will protect the original commission if and when any change to a booking due to overbooking by Virgin Voyages results in a reduction in ticket fare or a refund to the Sailor.
If a lower ticket price is offered for the exact cabin category purchased within the same voyage, Virgin Voyages will honor the lower price, upon request, if the request is made before final payment.
Commission will be paid based on the adjusted ticket price if the ticket price is reduced.
If a lower ticket price is offered for the exact cabin category purchased within the same voyage after final payment has been made, Virgin Voyages will offer an upgrade or some other value add item to the Sailor for the difference in price.
A guarantee category (Lock It In Rate) of any cabin type offered at a lower price is not considered a lower price of the exact cabin category purchased.

Commission on the new booking, which is made by a Sailor while on board, will be automatically paid to the First Mate, unless the Sailor indicates that a different method of booking is preferred.
First Mate will be notified of the sale and the commission that will be paid at final payment.
When a general voyage deposit is sold onboard, the First Mate will be notified via e-mail of the sale, to assist with converting the deposit to an actual ship and voyage date.
*These policies are not valid for tour operators.
Servicing First Mate Bookings

Sailor Services Crew
Can modify bookings for Sailors of a First Mate only if it has no financial impact. If they wish to cancel or make any changes that will have a financial impact, the Sailor must do so through their First Mate.

Transfers
Bookings can be transferred from Virgin Voyages to First Mate, First Mate to First Mate or First Mate to Virgin Voyages at the request of the Sailor for any reason within 30 days of original booking and before final payment is made.
Requests can be initiated by the First Mate if booking ID, ship, voyage date and all names are provided.

Future Voyage Credit (FVC)
Sailors may cancel up to 45 days prior to sailing and they will receive a FVC.

Final Payment
Final payment due date is 120 days prior to sailing. Bookings not paid in full by the Final Payment date will be canceled and funds paid will convert to an FVC.
